TERMS & CONDITIONS.
Booking your event date
All booking confirmations will only be secured by a deposit. Up to this point a provisional booking will be held for 30 days unless you are notified otherwise
On the occasion where a quote/estimate is issued, please note this is only a guide price for requested services and is subject to change
A booking deposit invoice will be raised via an email
All bookings are subject to availability and minimum numbers
Booking confirmation
We will confirm in writing once the event deposit has been received
Your date will then be secured, and our contracts will be legally binding
Please note that upon payment of your deposit you are accepting the terms and conditions of our contract is laid out in this document
Our terms and conditions are only related to your services booked via Back To Your Place and do not include any contracts you may hold with your venue or third-party hire companies
Booking deposit
Deposits will be raised via an email invoice
The initial deposit will vary based on the event you have booked:
A wedding event will require at least a £500 deposit and may vary dependant on your estimated quote.
For all other catering events, the deposit will be based on 25% of your final invoice and may vary dependant on your estimated quote
All payment methods are listed at the bottom of your invoice
Confirmation of receipt of payment will be issued within seven days of the payment being received
All deposits are subject to a 7 day payment notice
Additional deposit
For larger events including weddings, we will require a second deposit charged at a further 25% of the total event
The second deposit for 25% will be raised and made payable 6 weeks prior to your event
If payment for the second deposit is not received within the payment terms of 7 days, Back To Your Place reserves the right to cancel your event up to seven days before the event is due to take place. Please reference points 8, 9 and 10 for the full cancellation policy
Final payment
Your final invoice will be issued two weeks prior to your event with 7 days payment notice
Your final invoice will include any outstanding payment minus your first, and if applicable, your second deposit
Pricing
Where possible we will always try and reflect our current pricing in both menus and services that are being provided. Our pricing is subject to change year on year and with market fluctuations
Customers will be issued a quote for their requested services and once a deposit has been paid, we will not raise or lower the itemised products for your event
Each event is priced according to many different factors including distance travelled, guest numbers and product choice. Back To Your Place reserves the right not to have to match previous prices given for completed events
BACK TO YOUR PLACE WEDDINGS LTD is VAT registered. Prices quoted (as of May 2020) will include VAT
Staff
For a fully-serviced event you will require staff. The charges will vary according to location of your event however as a guide our current charges are:
Manager - £22 per hour
Chef - £22 per hour
Service staff - £18 per hour
Staff members are not employed by Back To Your Place Weddings, they are self-employed
Staffing costs are in addition to prices quoted for food and drink
Back To Your Place will stipulate staff levels needed to run your event to the highest possible standard
Back To Your Place reserve the right not to run a serviced event where staff levels are not sufficient for the need of the event
Back To Your Place will (under normal circumstances) only work with their recommended staff
Staff costs are clearly displayed on your final invoice and staff members are paid by Back To Your Place
Back To Your Place does not charge for the organisation and administration of your event
Current charges are subject to change at any time without prior notification. We will do our best to keep the client informed of any changes
Cancellation - by the customer
In the unfortunate event where you need to cancel you event booking with us, please put this in writing via email or postal letter. The following charges apply:
Cancellation received with more than 60 days to your event – the initial deposit will be kept. This is non-refundable regardless of the circumstances
Cancellation received with less than 60 days to your event – 50% of the total event cost will be charged
Cancellation received with less than 30 days to your event – 100% of the total event cost will be charged
The total event cost will be based on the number of confirmed guests attending at the agreed price per head. Should guest numbers remain unconfirmed at point of cancellation, the total event cost will be based on the original quote that the first deposit was paid on
Any additional costs incurred such as staff costs, preparation or ordering of products will be charged to the client at the cancellation stage. This is to cover any losses caused to Back To Your Place weddings for administration, travel, supplies etc and will be fully explained at point of cancellation
Cancellation - by your venue
In the circumstance where your venue has let you down for your agreed event date, please make Back To Your Place aware Immediately
At this point we will be able to discuss the options and how we can facilitate the event going ahead
Please note Back To Your Place Weddings accepts no liability for the action of the venues where your event is being held.
Cancellation by your venue will default to the terms and conditions in point 8, however, we will do our utmost to ensure continuity of your event and give advice for alternative venues
Cancellation - by Back To Your Place Weddings
In the unlikely event that Back To Your Place Weddings cancels your event we will notify you at the earliest opportunity. The following terms and conditions apply:
If Back To Your Place Weddings is unable to fulfil your event due to unforeseen circumstances then a full refund of any money paid will be issued within 30 days of our notification cancellation
If the 2nd deposit is not settled within the payment terms set out in point 4, Back To Your Place reserves the right to cancel your event.
The cancellation of your event will be issued in writing either via email or postal letter and we will make every effort to reach you via telephone where possible
Third party suppliers
We accept no liability for any food and drink supplied by either an alternative caterer or friends or family of the client
Where the client has made additional arrangements, i.e. canapes, desserts, cake, evening catering; Back To Your Place Weddings requires a disclaimer to be displayed to guests of the event to ensure it is clear that the food was not provided by Back To Your Place Weddings
Additional service requests shall be discussed prior to your event (such as arrival drinks) and will be subject to additional charges
Back To Your Place reserves the right to not serve a product that we have not produced or supplied
Where you have contracts with other suppliers for your event, Back To Your Place holds no responsibility for their service or supply of product
Public Liability
Back To Your Place operates with public liability insurance to the value of £5,000,000
GDPR
Back To Your Place Weddings is fully compliant with the General Data Protection Regulations (GDPR). Any communication between the client and Back To Your Place Weddings will be specific to your event. Once your event has completed and all payments received, your event will remain on file for 12 months after the event. If you have signed up to Back To Your Place mailing list you will have done so by opting-in to receive updates.
